These Terms & Conditions and Privacy Policy outline the rules and regulations for the use of Speech Haven's website and services.

Welcome to Speech Haven Therapy Centre ("Speech Haven," "we," "our," or "the Centre"). These Terms & Conditions and Privacy Policy outline:

By using www.speechaven.ca or accessing our services, you agree to these terms. If you do not agree, please discontinue use of the site.
To ensure the highest ethical standards and comply with professional conflict-of-interest guidelines, Speech Haven does not provide private services to families currently receiving speech and language services within the same public school district as our consulting clinicians (Speech-Language Pathologists and CDAs). Please contact our intake team to verify eligibility.
2. Website use
By accessing our site, you agree to:

- Not copy, reproduce, or distribute website materials without permission
All content, including text, images, graphics, layout, and branding, is owned by Speech Haven unless otherwise stated.
3. Informational purpose only
All website content is intended for general education. It is not a replacement for a professional assessment or therapy session conducted by a registered Speech-Language Pathologist (SLP).
4. Collection of personal and health information
We collect only the information necessary to:
- Respond to inquiries
- Create appointments
- Provide clinical assessment and therapy
- Prepare clinical notes, reports, and invoices
- Comply with PHIPA and CASLPO regulations
This may include name (client or parent/guardian), email, phone number and address, appointment history, relevant medical, developmental, educational, or speech-language information, and documents or reports shared with your consent.
Information is collected through contact forms, email communication, phone calls, intake documents, and in-person therapy sessions.
5. How we use personal information
Your information may be used to:
- Communicate with you
- Schedule services
- Deliver speech and language assessments and therapy
- Maintain accurate clinical records
- Prepare receipts or reports
Speech Haven does not sell or share your information for marketing purposes.
6. Compliance with PHIPA and CASLPO
Speech Haven follows:
- PHIPA — Personal Health Information Protection Act (Ontario)
- CASLPO — College of Audiologists and Speech-Language Pathologists of Ontario
- Applicable federal privacy laws
Your health information is kept confidential unless you provide explicit written consent, disclosure is legally required, or there is an urgent safety concern.
7. Record retention
CASLPO Standard: Clinical records must be retained for 10 years after the date of the last client interaction.
If the client was a child (under 18): Records must be stored for 10 years after the day the client turns 18 (potentially up to age 28).
Once the legally required retention period has passed, all records are securely destroyed.
8. Storage and security
We take appropriate steps to safeguard your information, including secure encrypted digital systems, password-protected accounts, restricted staff access, confidential physical storage for paper files, and secure destruction of records past their retention period.
9. Sharing of information
Information may only be shared when you provide written consent, when required by law (for example, court order), or when necessary to coordinate care with another professional (with consent).
10. Cookies and website analytics
Our website may use cookies to improve user experience, analyze performance, and support basic site functionality. Cookies do not access personal files or identify you individually. You may disable cookies in your browser settings, although some functions may be affected.

13. Appointments, fees, and cancellation
By booking with Speech Haven, you agree to provide accurate information, pay the posted service fees, follow our cancellation policy (typically 24 to 48 hours notice), and understand that insurance reimbursement is determined by your provider. Receipts are issued upon request for insurance or tax purposes.
14. Limitation of liability
To the fullest extent permitted by Ontario law, we do not guarantee uninterrupted website access, and we are not responsible for any losses related to website use. Nothing in this policy limits liability where legally prohibited (for example, fraud, negligence causing personal injury).
